Job Description

Are you a detail-oriented, proactive professional with a passion for supporting senior leadership in a dynamic and high-end environment? Our client, a prestigious new luxury complex featuring high-end condos, retail spaces, and premium office suites, is seeking an Executive Assistant to support their Executive Director and two additional senior leaders.

About the Role

This is a unique opportunity to be part of a landmark development, providing high-level administrative and operational support in a fast-paced, design-forward setting. You’ll play a key role in ensuring the smooth running of executive schedules and office operations.

Key Responsibilities

  • Manage complex calendars and coordinate meetings across multiple time zones
  • Arrange domestic and international travel, including itineraries and accommodations
  • Prepare meeting agendas, take minutes, and follow up on action items
  • Provide general administrative support including expense reporting, document preparation, and filing
  • Support office operations and assist three additional senior leaders with ad hoc tasks
  • Liaise with internal teams and external stakeholders with professionalism and discretion

About You

  • 2–4 years of experience in an Executive Assistant or high-level administrative role
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Exceptional attention to detail and organizational skills
  • Confident communicator with a proactive, can-do attitude
  • Able to thrive in a fast-paced, high-standard environment
